How to Add a Speaker from the Dashboard (Pre-Register Participants)
If your guests have to enter their name every time they join, you should add them as Speakers from the Dashboard instead of using the generic guest invite link. Speakers are pre-registered with their profile information saved, so they never need to re-enter their name.
Speakers vs Guests: Key Difference
| Guest (ad-hoc) | Speaker (pre-registered) | |
|---|---|---|
| How they join | Generic invite link shared with everyone | Personal login URL unique to each speaker |
| Name entry | Must enter name every time they join | Name is pre-saved, no need to enter each time |
| Profile info | Minimal - only what they type when joining | Full profile: name, title, company, position, avatar, logo |
| Lower third | Generic or needs manual editing | Automatically shows pre-configured name, company, position |
| Setup | Quick - just share the link | Requires one-time setup in the Dashboard |
| Best for | One-time or unknown participants | Recurring participants, professional broadcasts |
| Invite method | Share one generic link | Each speaker gets their own personalized link |
Bottom line: If someone joins your show more than once, add them as a Speaker from the Dashboard. Their name, title, company, position, avatar, and logo will be saved and pre-filled every time.

What Happens When a Speaker Joins
- Speaker clicks their personal link
- They’re taken directly to the studio with their name, title, company, position, avatar, and logo already set
- No need to enter any information
- Their lower third automatically shows the correct name, company, and position
- They appear in the Fast Access Bar with their saved profile

Edit a Speaker’s Profile
- Go to Speakers in the Dashboard
- Click on the speaker’s row
- Update any fields (name, company, position, avatar, etc.)
- Click Save

If a speaker lost their invitation:
- Click the options menu (⋮) on the speaker’s row
- Select “Reinvite”
- The invitation email is sent again
Bulk Operations
Select multiple speakers to:
- Delete - Remove multiple speakers
- Reinvite - Resend invitations to all
- Star - Mark favorites for quick reference
Tips
- Set up speakers once - Their profile persists across all sessions in the project
- Assign to multiple sessions - Same speaker can be in multiple studios
- Pre-fill everything - The more you fill in (company, position, logo), the more professional the lower thirds look automatically
- Use for recurring guests - Anyone who appears on your show regularly should be a Speaker, not a Guest
- Guest invite link still works - For one-time or unknown participants, the generic guest invite link is still available in the editor
When to Use Which
| Scenario | Use |
|---|---|
| Regular co-host who appears every episode | Speaker (add from Dashboard) |
| One-time interview guest you won’t have again | Guest (generic invite link) |
| Professional broadcast with known panelists | Speaker (pre-register all panelists) |
| Open community call with unknown joiners | Guest (share generic link) |
| Guest who complains about entering name each time | Speaker (switch them to pre-registered) |
