Collaborators Management

Seats by plan: Free has no collaborator seats, Basic has 2, Pro has 4, and Business has 5-7 — each of those counts includes the account owner. Collaborators are NOT the same as guests or speakers: any number of those can join a session on any plan.

Collaborators are team members who can access and manage a project alongside the owner. This feature enables team collaboration on broadcast projects.

The Collaborators page

The Collaborators page in the Dashboard lists everyone with access to the project in a table with three columns:

  • Name - The person’s name and email. For a pending invitation, the email is shown with the note “Pending for approval”.
  • Role - Owner or Collaborator. The owner is marked with a verified badge.
  • Actions - Remove or withdraw. Shown for collaborators only, never for the owner, and only visible to the owner.

Who can manage collaborators

Only the project owner can invite or remove collaborators. If you are not the owner and try to invite someone, you see the message “Only the project owner can invite collaborators to a project”.

Plan Limits

When the project already has as many collaborators as your plan allows, the invite button shows the message “Your plan is limited to X collaborators” with an Upgrade now option.

Inviting collaborators

  1. Click the invite button (it is also available in the Dashboard header).
  2. In the invite dialog, type an email address and press Enter. You can add several addresses.
  3. People you have worked with before are suggested as you type.
  4. Click send to deliver the invitations.

Notes:

  • An invalid address shows the error “Email is not valid”.
  • An address that is already a collaborator, or already in your unsent list, is not added twice.
  • New invitees appear in the list as pending until they accept.

Removing collaborators

Click the remove action next to a collaborator. A confirmation dialog appears:

  • For an existing collaborator: “Are you sure you want to remove {name}?” with a Remove button.
  • For a pending invitation: “Are you sure you want to withdraw the invitation for {email}?” with a Withdraw button.

Best Practices

  1. Verify ownership - Only owners can manage collaborators
  2. Check plan limits - Upgrade for more collaborators
  3. Use correct emails - Verify before sending invitations
  4. Remove inactive - Clean up unused collaborators
  5. Communicate - Let team know about project changes

One account, one studio at a time

Collaborators exist because the studio can only be open on one device at a time per account. Two people cannot share one login and both open the studio — the second one is stopped and asked whether to close the first. Each person needs their own account added as a collaborator, which is also what keeps them distinct in the session. See one-studio-at-a-time.
